Our volunteers are an essential part of keeping the Center welcoming and running smoothly. Front Desk Receptionists are often the first people our members and guests meet, helping create a friendly and supportive environment for everyone who walks through our doors.

Front Desk Volunteer Expectations:

  • Always Act as an Ambassador of the Gillespie Center
  • Smile and greet all guests warmly
  • Be knowledgeable on all Gillespie Center services, programs and events
  • Answer all guest questions or refer them to the appropriate person or agency, if you don’t know the answer, seek help from the Director
  • Act in accordance with Gillespie Values at all times.
  • Reports to the Center Director.
  • Communicates directly to the Center Director regarding any time off and shift changes.

Front Desk Volunteer Job Qualifications:

  • Friendly
  • Strong customer service skills
  • Ability to work well on a team and independently
  • Comfortable multi-tasking
  • Detail-oriented
  • Excellent written and verbal communication skills
  • Strong organizational skills

Front Desk (OPENER) Volunteer Duties and Responsibilities:

AT THE START OF YOUR SHIFT

  • Unlock right-side front door and change sign to “OPEN”
  • Unlock library door
  • Turn on lights in rooms being used
  • Take pastries/donuts from the bakery to Credenza for our coffee group
  • Make coffee and put out coffee and pitcher of ice water. Fill 2 coffee urns (to empty main urn), empty grounds & turn off if no longer needed
  • Check to see if there are voicemails on the phone and return messages
  • Review Communication notebook (green) for any updates and sign your initials to acknowledge you have read them

DURING SHIFT

  • Make sure that all visitors sign in and out (unless only here for the Food Shelf or Bakery)
  • Answer phone calls and record messages if needed
  • Process transactions for events, lunch and excursion registrations, membership renewal and bakery fundraiser
  • Make sure all money taken in has a receipt and paperclip together
  • Please make sure that all lunch, event & excursion sign-ups are PAID for when they sign up
  • All incoming mail and packages should be put in the Director’s office

AT THE END OF YOUR SHIFT (before you leave)

  • Count money in the bakery jar and write a receipt to account for money
  • Put both money and receipt paperclipped together in the money pouch
  • Put pouch in the Director’s Office – in top right-hand drawer in desk

Front Desk (CLOSER) Volunteer Duties and Responsibilities:

DURING SHIFT

  • Make sure that all visitors sign in and out (unless only here for the Food Shelf or Bakery)
  • Answer phone calls and record messages if needed
  • Process transactions for events, lunch and excursion registrations, membership renewal and bakery fundraiser.
  • Make sure all money taken in has a receipt and paperclip together
  • Please make sure that all lunch, event & excursion sign-ups are PAID for when they sign up
  • All incoming mail and packages should be put in the Director’s office.
  • Communicates and escalates in a timely manner to Director on all updates and issues related to the Front Desk.

AT THE END OF YOUR SHIFT (before you leave)

  • Clean and sanitize tables in rooms that were used (Lost Lake 1, Cottonwood, Board Room)
  • Lock Right Side Front Door (Left side will auto lock) and change sign to “CLOSED”
  • Turn off lights in rooms that were used and family bathroom
  • Shut door to offices and ensure locked
  • Check to see if there are voicemails on phone
  • Put day old bakery goods in trash bags and place outside the front door (or in the round barrel in the trash area). Move today’s bakery to the $1 shelf at 4:00 PM. Call Bob Bosma for pick up.
  • Dump out and rinse coffee urns
  • Throw out bakery goods on credenza
  • Bakery – Before you leave: Count money in the bakery jar, write a receipt to account for money and paperclip together
  • Put both money with receipt in the bakery pouch
  • Put all pouches with money in Director Office – in top right-hand drawer in desk

FRIDAYS and IF there is an EVENING EVENT:

  • Put the Front Desk book (green), Communication book (green), Front Desk Schedule and receipt books in Director’s Office (to protect Member data). Ensure all money is locked in the Director’s office.
